AI agent or chatbot? What actually changes for your teams

A chatbot answers. An agent finishes the job, and knows when to ask. How to tell the difference, and how to pick your first use case.

Architectural angles in deep blue

Most organisations have tried a chatbot. Far fewer have an AI that actually completes work inside their systems. The difference is not the model: it is what the software is allowed to do, and where people stay in the loop.

The difference in one sentence

A chatbot answers questions in a conversation. An agent receives a goal, consults your tools and documents, chains several actions to reach it, and hands over to a person when a decision needs one.

An agent at work: a supplier invoice

  1. The invoice arrives by email, in Arabic or English.
  2. The agent reads it, extracts supplier, amounts and tax, and finds the matching purchase order in the ERP.
  3. It compares quantities and prices line by line.
  4. If everything matches, it prepares the posting; if a line is off by more than the agreed threshold, it explains the gap and asks a buyer to decide.
  5. Every step is logged: what was read, what was done, who approved.

Nothing here requires the agent to be clever about business policy. The policy is yours, written down as rules and thresholds; the agent applies it, tirelessly.

How to pick your first use case

Good first candidates share four traits: volume (the task happens hundreds of times a month), rules (people already follow a procedure), data (the inputs exist in digital form) and measurability (you can count time saved or errors avoided). Avoid starting with the use case that impresses the board but touches sensitive decisions about people.

Five questions to ask any vendor

  • Which of our systems will the agent write to, and with what rights?
  • Where does a person approve, and can we change the thresholds ourselves?
  • How is quality measured before and after go-live?
  • Where are data and logs stored, and for how long?
  • What happens when the agent is unsure?
